Administrative Assistant – HR/Office/Licensing
Hourly Rate Range: $20 – 25 per hour DOE
Part-time, non-exempt, hourly position

We are searching for an experienced Administrative Assistant to assist multiple departments. This is a new position and we need someone who can hit the ground running. It is also an excellent opportunity to make this position your own. This position is on-site and is expected to work a minimum of 24 hours per week, spread out over three days in our office in the Brickell area in Miami, FL. Expected days in the office are Tuesday, Wednesday, Thursday. There may be weeks you are required to work a fourth day, which can be done remotely. This will be the exception versus the rule; therefore, it is important you reside within a reasonable commute to our office. We are a flexible company and understand life happens. If you need to switch up your days occasionally, that is not an issue, but please bear in mind the standard on-site schedule will be Tuesday through Thursday during normal business hours.
Aardy currently has 27 U.S. employees, as well as a U.K. subsidiary with 5 employees and a growth trajectory of 2-2.5x per year. This position can potentially evolve into a full-time position as we continue to grow, but at this time it is a part-time position. If you are seeking full-time employment this is probably not the best fit for you at this time. This is a great opportunity for those looking to re-enter the workforce and grow with the company. What you will do
Human Resources
- Assist HR Manager with updating and maintaining employee data in our HRIS/payroll system.
- Coordinate and schedule interviews between HR Manager and candidates.
- E-Verify verifications.
- Prepare and process payroll in the absence of the HR Manager.
- Assist HR Manager with tracking, troubleshooting, and resolving (when able) the various agency notices we receive from the states we operate, e.g., unemployment, workers comp, state tax, etc.
- Assist HR Manager with ad hoc projects, research, and administrative tasks.
Office
- Greet visitors.
- Receive/send packages; mail pick-up, sort, deliver to appropriate personnel.
- Assist with equipment inventory and tracking. Order and ship equipment.
- Re-stock and maintain kitchen. Track and order office supplies as needed.
- Assist Senior Team with travel arrangements, working with building management regarding maintenance/logistics.
- Ad hoc administrative office tasks.
Insurance Licensing
- Weekly updates and check-ins with the Insurance Director.
- Check the status of license renewals for agents and agency on a weekly basis.
- Ensure renewals are completed 30 days prior to the deadline.
- Ensure new agents are licensed no later than 90 days after they are released from training.
- Apply for license in all 50 states and Puerto Rico.
- Remind agents to update their address if they move, as well as any name changes. Confirm these changes have been completed. The changes must be updated in all 50 states and Puerto Rico.
- Reply to all state inquiries concerning agents.
- Ensure Designated Responsible Licensed Producer (DRLP) is up to date in all states.
- Reply to inquiries from providers/carriers.
- Assist Insurance Director with ad hoc administrative tasks related to licensing.
You will have the following.
- Must have a minimum of two years of Administrative Assistant experience. Experience in a comparable role is acceptable.
- Must have a high school diploma or equivalent. Preferably a two-to-four-year degree in Business Administration or the like OR a recognized Certificate in Office Management/Administration or the like from a trade/vocational school. If your degree or certificate is in-progress, that is acceptable.
- Computer literate with intermediate to advanced Microsoft Office skills.
- Excellent attention to detail.
- Strong communication skills.
- Ability to learn new systems, skills, and tasks quickly.
- Excellent time management skills.
- Ability and desire to support multiple departments. Ability to prioritize tasks accordingly.
- Ability and desire to work with a solid and dotted-line reporting structure.
- Ability to work independently. Does not require micromanagement.
- Live within a reasonable commute of our office in the Brickell area in Miami, FL.
Not mandatory, but nice to have
- HR experience and knowledge. Experience with Paylocity.
- Current or former licensed insurance agent.

What we can offer you as a part-time employee
- Competitive Hourly Rate: $20 - $25 per hour, based on experience.
- 1 hour of PTO for every 17 hours worked. Not to exceed 60 hours earned per calendar year.

*Must currently reside in the greater Miami, FL. area. Relocation assistance is not offered, and you will be required to work on-site in our Miami, FL. office on a weekly basis. Schedule will be worked out with your manager upon hire, but is subject to change based on business needs.

Primary Responsibilities
- Whilst many of our customers self-serve online, there will always be some who like to Chat, Call or Email.
- As a Travel Insurance Agent, your primary responsibility will be to take calls, chats, and emails. We do not cold call, we do not solicit. Ours is a world of inbound requests from customers.
- We do not upsell; we do not stretch a customer’s wallet.
- We measure success through conversion, 5-Star Reviews, and other customer focused metrics.
- Your responsibility is to serve the customer.
- Our job is simple – we find the lowest priced policy that serves their needs.
- You will need to be or become a Travel Insurance expert.
- You will need to have a deep understanding of the coverage benefits in every plan we offer.
- You will need to be a master communicator – ours is a complex insurance product, so it is essential that we are able to talk about it in a language that our customers can understand.
Secondary Responsibilities
- When not engaged with customers you could be writing – creating useful articles that will be loaded onto our site. Or you may be creating and updating our internal database. There are several opportunities for you to continue helping our clients indirectly.
- You will be directed, of course, so if you are comfortable as a researcher and a writer, there are always writing assignments to tackle.
Technical Requirements
- You must be General Lines P&C qualified in your home state.
- Ideally, you will also hold A,H & L, although this is not a pre-requisite.
- A Travel Insurance background is an advantage but is not a pre-requisite.
- Salesforce experience is helpful, but not required.
- Ability to type 50 WPM.
- You must be adept at utilizing Email, Microsoft Office, and Chat systems.
- You must have a strong command of the English language, with the ability to deploy your language skills in the medium that best serves our customers.
